HELSINKI CHALLENGE PRIVACY POLICY

1 Introduction

1.1 This Helsinki Challenge Privacy Policy (the "policy") governs the collection, storage and use of personal information collected by the University of Helsinki, the organiser of the Helsinki Challenge Competition and data controller for purposes of this policy, whose registered office is at P.O. Box 3, 00014 Helsingin yliopisto (hereinafter “organiser”, “we”, “our” or “us”) when you take part in the competition, use our website and its sub-domains (the “Website”) or in any manner described in this policy.

1.2 This document constitutes a description of the file of the participants to the Helsinki Challenge Competition as set out in the Finnish Personal Data Act and it also provides data subjects with the information required in the Act.

1.3 The policy provides you with details about the personal information we collect from you, how we use your personal information, and your rights to control personal information we hold about you.

2 What information do we collect

2.1 We collect and process your personal information in the following ways:

2.2 Information you or your team give us

2.2.1 You or a member on your team may give us information, including personal information on yourself and other members on your team, when the team is registered for the competition, a competition entry is submitted, you browse our website or you or a member on your team communicates with us. Where we request information from you and your team, we aim to explain why we need the information. The information we collect include the data listed in the applicable online forms or fields (which may include):

(i) Title

(ii) Name

(iii) Email address

(iv) Postal address

(v) Telephone number

(vi) Affiliation / Organisation

2.3 Information we collect automatically

2.3.1 We (or third-party service providers acting on our behalf) may also collect, store and use certain information by automated means, such as cookies when you visit our website. The information collected by us in this manner may include IP address, browser type, operating system, referring URLs, information on actions taken on a website, and dates and times of website visits.

3 How we use the information we collect

3.1 We (or third parties on our behalf) may use your information for the following purposes:

(i) To administer the competition;

(ii) To keep you and others updated on the progress of the competition and of other Helsinki Challenge related events and information now and in the future;

(iii) To send you other updates, newsletters, information about events or other communications that we think may interest you. You will always be able to opt-out from receiving such communication at any time by notifying us thereof (see the "Your Rights" section below).

4 Information we share

4.1 We may disclose your information to our partners and collaborators working on our behalf for the purposes set out above. Such partners include by way of example the Helsinki Challenge partner universities.

4.2 In processing your information, we or our partners or collaborators may transfer your data in compliance with applicable regulations to servers located in the United States and other third countries.

5 Retention of your information

5.1 We only retain your information for as long as is necessary for us to use your information as described above or to comply with our legal obligations.

6 Security

6.1 We implement and maintain appropriate technical and organisational measures to protect the information you provide to us against unauthorised disclosure, use, alteration, or destruction. In doing so, we take into consideration the nature of the information and the risks related to such information. However, please note that no transmission over the internet is ever completely secure.

7 Your Rights

7.1 Subject to Finnish law, we will provide you with access to your data and allow you to request that their information be corrected or deleted where it is inaccurate, outdated or obsolete. If you require access to your information we hold about you, please send your request in writing with a proof of identity to the address set out below.

7.2 You may at any time ask us to remove you from any mailing list by sending us an email at challenge@helsinki.fi.

8 Updates to this Policy

8.1 From time to time we may update this policy. When we do, we will publish the changes on the Helsinki Challenge website. If you do not agree with these changes, please do not continue to use our website or take part in the competition.
